Just a quick note about adding coupons to the coupon database.

First of all, if you have not read the instructions on how to use the coupon database you can find that in the footer at the bottom of each Hotcouponworld page. Or at the following link: How to Use the Coupon Database (http://www.hotcouponworld.com/forums/../using-the-coupon-database/)

Second, PLEASE PLEASE PLEASE search the database before entering coupons. I am carpel tunnel in my fingers from verifying entries and so many of them are duplicate entries. I am begging you to please search. When searching leave off all punctuation when you search (Example: Kellogg NOT Kellogg's) and make sure you check multiple pages if you get multiple pages in your search results.

Third, make sure you put your coupons as the right source and give all the important fine print when adding.

Of note a lot of what I am seeing being added wrong are the following.

Mail In Rebates - No matter if your rebate was found as a tearpad, peelie, winetag, home mailer, insert, etc...it is a Mail In Rebate. You can denote that it was found as a whatever in the description.

Try-Me-Free - This is the same as mail in rebate except that you are getting the item for free. Again it does not matter if it is a peelie, tearpad, or printable...it is still a Try-Me-Free. The value on all TMF's should be "FREE"

Special Promo - This is for mail in forms where you send off UPC's and sometimes money to cover postage and get a physical item via mail. For example send Kellogg's UPCs and get a free Ball Cap, that sort of thing. Again this is for FORMS...not coupons.

Winetags - If it is a coupon (not a rebate, special promo or try-me-free) and it is sponsored by a wine, beer or other alcoholic beverage company it is considered a winetag. It does not matter if it is a hangtag, peelie or tearpad or booklet. Again sponsored by booze company = winetag:giggle2:

Home Mailer - Any coupon that you got via snail mail in your mail box that did not come from a trade...it is a home mailer. Got a freebie and it came with a coupon? Its a home mailer. Complimented your favorite ketchup brand and they sent you a coupon? Its a home mailer. Your local grocery store sent you coupons in the mail? Its a home mailer.

Other - This category gets a lot of overuse I think. People dump all sorts of coupons here and frankly we don't have the time to weed through them all to see what is mis-categorized. This category is for the oddball coupon that otherwise does not have a source. Like you got a coupon in a trade, and you have searched the heck out of the coupon database and you just have no idea where it came from, go ahead and put it here. Or you are shopping and find this random coupon on the ground, you have no idea where it came from and there is not one like it in the coupon database already, then go ahead and source it as "other". Also please do not put other coupons you know belong to another source here. Printable coupons that the link is no longer valid...yeah sorry those are still printable coupons. And for some reason I just had to change over a bunch of insert coupons that were sourced as "other" when they were copied and pasted insert coupons with different values.

All entries should start with a brand name (Not "Save", "Any" "$1.00 Off" etc) - this is important for those members that use the database to publish thier wish/have lists so that they can be posted in alphabertical order...plus it just looks better expecially when posted along with coupon match ups in the store forums!

Put all the details in the entry. Include any small print. Such as DND 5, DND 9, state restrictions, sizes, excluding trial sizes, specified flavors, one coupon per person, one coupon per transaction, etc.
The store field is only for if the coupon is a store only coupon, not for where you found the coupon or where you should use it to get a hot deal. If its a Kroger coupon, Walgreens coupon, CVS coupon, Commissary coupon, then use the store field. If you found the coupon at Albertsons and it is a manufacture coupon, then leave the store field set as "Any". If the coupon is a manf. coupon with a store logo on it...its not a store coupon. Usually store coupons have a different type of barcode than manf. coupons. Please note that the coupon has a store logo but don't mark it as a store coupon unless there is some sort of wording on the coupon that makes you think it is only good at that particular store.

Anyways...I so appriciate everyone for adding entries, really I do. We get on average 300 new entries a day and most of them are fine. But there are still a lot of entries that are formatted wrong or are duplicates. There is just a small team of mods that verify entries and we too have lives outside of HCW so please do us a favor and all users of the database too and please add new entries the right way.

And if you ever have questions about how to add a coupon, you can ask , sbp, Mrspinecone, NrPeace17, mama22qts, Pennywatcher, Shoppingcartdiva, or myself (I think that is the database team LOL) and we would be happy to help you.

My question: When I find one (especially in printables) that's expired, link is dead, it's just not there anymore....how do I report/delete/let someone know to delete it? All I can find is to change/correct it, which doesn't really help me. Or do i just delete all fields?

Select the report action next to the entry and put somewhere in the description field of the report field (DEAD) or (CAMPAGNE OVER) or (BROKEN LINK) or something, anything really to let us know that something is wrong with the coupon.

I would say that 50% of the reported entries we get in the database are blank...and we don't know what is wrong with them so we just set them back to normal and hope that if something is wrong with them someone will fill out the report and let us know what is wrong with the entry.

I was at a website that I had signed into. I was allowed to print some coupons twice, so I printed them off while I was there. I left the website, cut out the coupons. I went to key the ones I didn't need into the db and it would not let me key them in as printables without a link, which I no longer had because I left the website and cut out the coupons. I keyed them in as "others", but was contacted and told this was wrong. For future reference, what should I do when I do not have a link to put in and it will not let me go any further? Thanks for everything you do for us!

The important thing about printable coupons in the coupon database is that when you add coupons you are sharing information first and foremost before the importance of trading. So it is important that you include the link to print the coupon. So its a good idea to take note of the links when you find a good printable so that you can share with the rest of the users of the coupon database. But, if you cannot remember the link, try googling the printable or failing that shoot me a PM and tell me what the coupon was for and I will see if I can find the link.

Additionally I am asking that folks do not enter printables that are no longer able to print. So if you printed a coupon 2 weeks ago from lets say, coupons.com but that coupon is no longer able to print, then please do not enter it at all. It makes our job, those that verify, a little bit more complicated to send you a PM and ask "hey where is that coupon" LOL

BTW if you get a PM from us about an entry in the database, don't take offense or anything we do it routinely when we have a question. I just want to make sure we have all the correct information in there so if I am not sure, I ask.

I have been spending the last couple of weeks really getting into the printables and making double sure that everything is good in there with new entries. A lot of people have been sent PM's asking them where the coupon can be found. And I am also adding in if the coupon is a bricks, coupons.com, smartsource etc so that those that have troubles with certain types of coupons will know before even clicking the link to print.

I have seen some good improvements this week in new entries.

Still getting a few that are starting the description with "Save" and "Any" and other things besides the brand name. Please remember to start each entry with the brand name.

Also noticing with the inserts that we get a few people that don't put the insert type (SS, RP, PG, etc) but put "Issue" which is not a valid insert type. If you don't know what the insert was, please put UNKNOWN.

But even then, I am noticing that the coupons are already there...so you would know what insert if you search first.

what helps me when I have inserts to enter is to choose insert from the source tab, then type in the brand information. it almost always pops up with a matching coupon (description, value, and expiration).

makes it alot easier than searching through all the other types of coupons when I am looking for an insert (works the same way when I enter blinkies, peelies, etc. I divide my coupons up by source/type then choose that on the drop down and go through all my blinkies, then move on to peelies, etc....) ...makes for quick list-making. My prefered method for searching before entering insert coupons is to choose "insert" from the drop down menu and type the insert date in the description search field first then start searching by brand

So I would type

05-03-09 Tide
05-03-09 Gillette
05-03-09 Dawn

etc.... only changing the brand each time I search....

You guys always beat me to the inserts though. LOL

The same concept works for any type of coupon though. Choose your type (blinkie, tearpad, winetag, etc) and then start searching by brand....helps so that you do not have to wade through 40 Pillsbury insert coupons when you have a blinkie...

so is it correct to report an entry that does not have the fine print/edit it in? and when it is changed will it also change to reflect the edit - in our have list.

example: today I received a home mailer from American Spirit tobacco for $10 off any product - that info was there (DB) but did not reflect the stipulations like "of greater value - one per consumer 21 yrs or older" etc. I reported the entry and edited the stipulations in, and then added the 2 I got to my haves. so when that change is approved it will change in my haves too, right? or do I need to set that aside and wait til it is changed for that to show up?

carisol, you don't have to do anything, it will reflect the change in your hl.
i traded for a q a few months ago and when i got it, saw there were state restrictions. Since that info wasn't listed, I reported and added the states, along with adding it to my HL. A few days later, when I was scrolling through my HL, I saw the q was updated with the additional info.

Yes the changes will reflect once we get to them and make the changes. I am working my butt off this weekend to try and get everything verified and all the reported coupon entries fixed but this thread needs to be bumped.

99% of every new coupon entry needs to be fixed by me to be formatted properly. About 40% of all new entries are duplicates.
80% of all reported entries have no information attached to the report so I don't know what is wrong with it.
And tons of printable coupons are entered with links that do not contain the coupon. Lots of people enter coupons.com, smartsource and the like printable coupons when those coupons are no longer available to print anymore.

And there are tons of mail in rebates that are listed as tearpads, peelies, ect. Please list all rebates as "Mail In Rebate" or if it is TMF list it is a "Try Me Free" don't list it as a insert, tearpad, peelie, hangtag, winetag etc.

What frustrates me THE MOST is when I enter what I have, then go back in and instead of whatever I entered, it shows as "---" or "duplicate" and I have NO WAY of knowing what was there! I have stopped entering my inserts right away, now I wait several days to enter them hoping any issues get worked out before I enter them into my have list, because I dont have time at all to go through and figure out what is now missing when that happens.

I'd be ALL FOR a W/I system for folks who cant follow the rules on entering correctly!

I can see who enters coupons, and I do send out a few PM's to members to let them know that they are entering coupons incorrectly. However the time and effort it takes to write up a PM to each and every person would be most time consuming. It is easier to just correct them and call it a day and keep this post bumped in hopes that someone will read it and learn about how to enter coupons. The database is not perfect, as many of you know I have a long list of wants to get done and we should be working on some of those things this summer. One of those wants is adding a tab to the database for learning about how to use it. Right now though we don't have the technical assistance to make any coding changes to the database. I get enough flack for our warning/infraction system as it is, I cannot see doing them for funky entries in the database. Again that would be time consuming and tick off a lot of members. Going by my statistics above...that would be whole lot of warnings and infractions! Once we have the new changes made to the database I will probably be recruiting to see if there are any members that might want to help with the database. It is getting to be a bigger project that I ever imagined it it be with so many new coupons entered each day that it is very hard to keep up with and still have time for life. LOL In the meantime the best way to help, is to report those bad entries and fill out the report form and let us know what is wrong. Blank reports get ignored and marked as "normal" unless I can tell just by looking at the entry what is wrong with it. Letting me know about duplicates, typos, invalid links and what not is the best way that the general membership can help with the database. And of course, searching before entering. I have even seen entries where they obviously copied and pasted an existing entry and made a new entry of the exact same coupon. I don't understand the reasoning behind that, unless just to make more work for me... I agree it is really frustrating coming across ones that aren't entered correctly, or duplicates. This is a total mistake on my part. Without going into too much detail the way the admin function of the database works is that we have various different status for each coupon. Unverified, Normal, Problem Reported, Admin Note, Broken Link and To be Removed. What happens when there is a duplicate entry is we merge the duplicate entries into one entry and the duplicates are marked as "to be removed". This merges the trading info into one entry. What I was doing was marking the extra coupon "Duplicate" and it was status "to be removed" so I thought that members trade lists would be changed to the "normal" entry. But while the numbers of how many you have on your lists or what have you changes over, the description of the coupon does not change in your have/wish/keep lists. I was unaware of this. NOW I change the all duplicate entries to match the normal entry exactly so that the wording changes on your lists. The only time I mark anything as ------------- is when there is a fraudulent coupon entered in the database (rare), or if there is a totally messed up entry that dispite my efforts to contact the member that entered it I cannot make heads or tails or if someone enters an online coupon code or spam. It is the only way to totally get rid of an entry so that folks are not trading bad stuff. So to wrap all that up, I no longer change out entries to "Duplicate" because I realized months ago that totally dinks things up!

Why thank you! :biggrin: I didn't do all of them, but I did a lot. I am always eager to get my havelist updated as soon as possible. I may have a typo here and there, but I didn't put any RP or PG out there, lol.

Wow, I've never seen this before. Thankfully, I have been entering -most- of mine correctly, just based on looking at the format everything is normally posted in. But good to know or confirm some things.

I too get annoyed to see 3-6 of the same bloody Q dups in the system when it just takes a moment to look first and change your results from 10 to 100 so your seeing them all!

Can the Mods create a "clean-up crew" who only have edit rights to the DB to help with keeping it maintained? I'd be happy to volunteer due to a number of non-insert Qs I enter on a semi-regular basis.

Okay, so I recently made a trade for:

Softsoap Brand Liquid Hand Soap, Any - "Just brushed clean: Anytime, Anywhere" tearpad, .50/1, exp 7/30/09

No where on the database (that I can see) does this say that this coupon has a Publix logo on it! I don't have a Publix, and wouldn't have traded for these qs, had it been listed correctly.

Subsequently I addeda "report" for this coupon, but the database still does not have in it that the coupons from this book have a Publix logo:hectic1:

i was adding to my have list today coupons from SMART SUMMERTIME SAVINGS booklet from publix.... they have a lot of plu # publix only coupons it it. BUT.... there are a lot of manufacturer coupons in it also... and on EVERY one of them it states redeem at publix... not only at publix though.... any hoo.... i stopped adding them to my have list as the ones in the database say publix summertime savings booklet... but they DO NOT say that there is redeem at publix on them .... so i just added a disclaimer to the top of my have list in red stating that all from that booklet have this written on them.... now i have other coupon booklets from publix that have manufacturer coupons but no where on them does it say redeem at publix.. i think they all should have this clearly in the description so others may see it.. now you may be able to use them in your stores ... ymmv some may not let you as it has publix on it... i think that it should be made aware of when putting in the coupon... it is alot of coupons or i would go report them all...i just thought i would post this so maybe more people will read it... hth!

The thing I want to point out is that not all coupons that are entered differently from other similar ones are wrong. I end up with coupons on my havelist all of the time with information that’s been changed. Members report and have insert dates and types changed because their version of the same coupon came differently. That really messes me up because I don’t clip my coupons; I file my inserts whole by insert date. When the insert information gets changed, I can’t find the coupon. Inserts and coupons vary from region to region, sometimes by a lot. Please keep this in mind before reporting a coupon as wrong.

Wow. great, informative thread, now I know to put the name of the product first!!

Question, you say the "report is not filled out" when someone clicks on report a coupon.

I have done this, but where exactly do we write the note to the mod. In the field where the coupon wording would go?? So just delete the coupon wording and put in there something like "this coupon's expiration date is wrong, should be 1-1-2009" or something like that??

If it's a dupe, just put "dupe" in the coupon description area?

Please keep in mind, everyone, that on Saturday or Sunday, multiple people may be entering coupon inserts and when they search, no coupon, but after 2 or 3 may pop up because people were entering at the same time. I'm sure it is rare, but does happen and happened to me over the weekend.

I do not think I should get an infraction for a dup if that is the case. Nor do I consider myself dumb, stupid or illiterate. I honestly believe we are all here to work together as a team to meet a common goal and noone is better than anyone else.

I think everyone makes mistakes from time to time. EVERYONE! :soapbox:


Also, make sure you are utilitizing the store specific column in both entering coupons and making your wish list. I usually will send off a pm when a store specific coupon is being asked for, just to make sure they know it is store specific. I have actually gotten a few thank yous because they didn't notice.

Don't be afraid! Its not that hard. And I love that you asked this question.

ALL Catalinas are considered store coupons. You are not supposed to use them at other stores unless your stores policy is to allow them.

I have a question about adding a Magazine coupon. I am trying to enter a coupon from Bark Magazine from the Summer 2010 issue. The DB won't accept "Bark, Summer 2010". It keeps prompting me for a month and year. Is there a workaround for this or should I just enter it as July 2010? (This is not a monthly magazine.)

I have a question about adding a Magazine coupon. I am trying to enter a coupon from Bark Magazine from the Summer 2010 issue. The DB won't accept "Bark, Summer 2010". It keeps prompting me for a month and year. Is there a workaround for this or should I just enter it as July 2010? (This is not a monthly magazine.)

kval, for situations like this, the best way will be to enter it as July 2010, but then please go in and report a problem with it, and let us know that it should be Summer 2010, and we can make the switch for you.

Any chance of adding a B2G1 to the drop-down list for 'value'? There are coupons in there that are B2G1 that are listed as B1G1 as there is no other option.
It would also be helpful to have an 'other' category too, for coupons that don't fit neatly into the assigned categories.

You don't have to use just the amounts listed in the drop down. You can type in b2g1 and search for coupons that way.

There is also an "other" option to list coupons under as well. :smile:

kval07 is correct, B2G1 is a valid search option also when you add a coupon you choose Buy X Get Y and then you can enter B2G1 or B5G1 or B10G5 or whatever Buy X Get Y value you want.

If there are coupons entered in the database as B1G1 when they should be B2G1 that is because someone entered the coupon incorrectly. Which happens (frequently) with a user created anything...

Also there is an "Other" Category as well as "Other" source. So we are covered there.

I know that the coupons we each get varies based on where you live, where you shop, your likes/dislikes, et al

So PLEASE enter a coupon if you receive one that is not yet entered into the database so that EVERYONE can know what is out there!

Let me just give my apologies: I hadn't read this, and though I think I worked out most of the kinks in my submissions via pattern recognition in the past couple of months since starting here, I KNOW I messed plenty of Q entries up.

I'm willing to volunteer if you need any help cleaning up.

I think something in place that requires you to read this before you get access to the database, much like getting access to trader in training status, could be a good preventative measure.

DND means "Do Not Double" and the 5 or the 9 means what number the bar code on the coupon starts with.

If a coupon states Do Not Double but starts with the number 5 - some stores will still automatically double these coupons.

If a coupon starts with a 9 some stores will not automatically double these coupons.

Some stores do not double coupons at all.

Some stores don't double coupons if they say Do Not Double on them regardless of what number the bar code starts with.

Some stores double coupons regardless if the coupon says Do Not Double on them.

And the registers at Walmart beep at coupons that start with a 9 no matter if it says DND or not. LOL

It is just information that many couponers like to have before they trade coupons with someone.

My WM doesn't beep a corrective beep no matter what. There is no way to tell without the cashier telling you or you do your own math.
